This article explains how to copy values from last year, budget, or forecast into the live forecast for a selected month using the Copy to live forecast tool.

Overview

The Copy to live forecast tool allows you to overwrite the selected month in live forecast with values from another source. This is useful when you want the live forecast to follow a known reference instead of continuing with automated pickup.

You can copy values for rooms and all non-room departments, depending on the available metrics (room nights, revenue, covers, or average revenues).

Who gets it?

This feature is available for users with edit access to the selected department.

What you can copy

Where to find it:

Live forecast → Tools → Copy to live forecast

You can copy the following sources into the live forecast:

• Last year
• Budget
• Forecast

The selected source will overwrite the values for the currently displayed month, and will change all days in the visible period to ‘manual edit’.

Rooms forecast

When copying data for rooms, you can choose to copy:

• Room nights
• Average room revenue or revenue (depending on your settings)

If room nights are selected, guest nights will always be recalculated automatically.

Non-room departments with covers

For departments that work with covers, you may copy:

• Covers
• Average cover revenue

PMI recalculates related values automatically.

Non-room departments without covers

For all other departments, the tool allows copying of:

• Revenue

How it works

After selecting the values you wish to copy:

1. Review your selections in the header.
2. Click Approve.
3. PMI copies the values from the chosen source into the live forecast for the visible period.
4. All dates in the selected period are set to manual handling.
5. The updated live forecast is saved automatically.

Once manual handling is applied, the values will remain fixed until you change them.

Resetting/recaluclating the live forecast

You can revert the month back to automated live forecast. Depending on the department setup, PMI provides two reset options in the Tools menu.

a) Reset pickup

For Rooms live forecast and non-room departments where prediction is not activated, the option Reset pickup is available.

This restores the automated live forecast calculation.

Two reset options are available:

• Reset pickup – resets and saves the Live forecast for the selected month or period.

• Reset pickups all – resets and saves the Live forecast for the selected month and all future months.

When applied:

• Pickup values are cleared and recalculated.

• Rooms departments: Live forecast is recalculated from the Prediction column.

• Non-room departments: Live forecast equals the OTB or cost driver values.

b) Reset live forecast

For non-room departments where prediction is activated, the option Reset live forecast replaces Reset pickup.

This resets all values in the selected period back to the Prediction values.

Important information

• Copying room nights always includes guest nights.
• Copying overrides all automated pickup logic for the selected period, and updates all the days to manual.
• Resetting pickup should only be done when necessary, as it rebuilds the live forecast for the month.
