What is the Flash report?

The PMI Flash report gives you a total overview of the daily revenue, both actual and as per the Live forecast. The main users are GMs, controllers, revenue managers and heads of departments. For optimal results, the Live forecast should be updated daily.

 

How to read the Flash report

The Flash report consists of both actual figures and Live forecast figures. Up until yesterday’s date, you have actual figures, and from today and moving forward to the end of the month, the figures are from the different Live forecasts. Today’s date is marked with a red line.

 

1. The report shows the different divisions and a total Sum at the far right of the sheet.

2. By clicking on any actual figure, a popup will show you the import from your PMS or POS system with the actual accounts imported and the revenue. This will only work on historical (actual) figures and not on future dates, since future dates are Live forecast.

3. MTD (month to date) consists of actual imported figures from PMS or POS. Month-end consists of both actual figures and Live forecast. Click here for more details on how the month-end figure is calculated.

4. MTD Forecast is the amount you should have by this point in the month/period, in order to reach your end-of-the-month forecast, given that your Live forecast for the rest of the month is correct. The calculation is month-end Forecast divided by month-end Live forecast x MTD actuals. If the MTD actual is higher than this amount you will exceed the forecast and vice versa. The Forecast index is calculated by taking the month-end figure and dividing it by the forecast figure. The index indicates where you will end up month-end compared to the forecast. Deviation is also displayed in local currency.

5. MTD Budget is the amount you should have at this point in the month/period in order to reach your monthly budget, given that your Live forecast for the rest of the month is correct. The calculation is month-end budget divided by month-end Live forecast x MTD actuals. If the MTD actual is higher than this amount you will exceed the budget and vice versa. The Budget index is calculated by taking the month-end figure and dividing it by the budget figure. The index indicates where you will end up month-end compared to the budget. Deviation is also displayed in local currency.

6. MTD or period-to-date last year: Note that with By Weekday comparison, instead of By Date comparison, the sum is based on comparable days. E.g. if the first day of the current month is a Monday, PMI will start on the corresponding Monday last year to calculate last year´s result. Thus the month end result shown for last year might differ from the actual calendar month´s result. For example, PMI will compare this year’s Easter with last year’s Easter even though last year’s Easter may have fallen in another month. When comparing By Date you will compare the date this year to exactly the same date last year. See View Options for alternating between By Weekday and By Date. Deviation is also displayed in local currency.

 

Editing

Use the Editing tool to correct figures that were imported on the wrong day or to move a revenue adjustment to the date where it belongs. You need Edit rights for the Flash Report.

When should I edit?

  • Wrong‑day postings from PMS/POS
  • Manual entries when no PMS integration is available

Step‑by‑step

  1. With the Date selector, pick the day you wish to change.
  2. Click the Edit day icon next to the date.
  3. In the pop‑up, use the Date selector if you need to jump to another day.
  4. Click the Edit icon next to the department or segment.
  5. Enter the correct value and click  Save.
  6. Click the green OK button to confirm.

Important: When you save, all imported accounts for that day are automatically de‑activated and replaced by your manual entry. To restore the original import, simply press the 🗑 trash‑can icon.

 

How to manually enter covers on a daily basis

If your Live Forecast is based on covers and no actual covers are imported, you can enter them directly in the Flash Report.

Quick edit – recommended

  1. In the Restaurant section, hover the row for the correct date and choose ⋯ Actions → Edit Covers.
  2. Type the new number and press ✔ Save.
  3. Verify that the grid shows the updated covers.

Alternative: pencil‑icon method

Double‑click the date (or use the pen icon) and follow the Editing steps above at segment level. 

 

Tools

Under the Tools menu, you have the option to export the report to Excel or PDF format.

 

View Options

In View Options, you can choose what you want to display.

  1. Include Period End − This will include Live forecast.
  2. Displayed Data − You have the option to see Live forecast, meaning actual and Live forecast figures joint, Forecast figures (last submitted forecast) only and Budget only. The Summary at the bottom will always show actual and Live forecast figures.
  3. Show Weather − If chosen, you will see a weather icon for the next 10 days. Also, the weather data will be saved for historical reference from that day onward.
  4. Show Segment − This will display the segments of your property if applicable. You can also activate the segments by clicking on the + sign in front of the date in the main view.
  5. If you would like to to display the KPI Revenue per guest, this column will appear after Revenue under Reception Other. (Please see the image of the flash report at the beginning of this article for reference.) If covers has been activated in that department, the calculation is revenue divided by covers. If guest nights has been activated in that department, the calculation is revenue divided by guest nights. The name of the column will remain Revenue per guest, regardless of whether guests or covers have been activated. Please contact support to have this activated for you.
  6. Daily Note− Will display daily notes.
  7. View TrevPar – This will add a column under Rooms displaying TrevPar. This is total revenue divided by available rooms.
  8. View Total Rows For Forecast, Budget and/or Last Year − This will add comparison totals at the bottom of the sheet. When comparing to Last Year, you can choose between By Weekday (then PMI will compare to the same period last year, i.e not the exact same dates but the same weekdays) and By Date (PMI will compare the exact dates).
  9. View Sum Columns For Food Revenue − This will show the Food Revenue both under the column Food & Beverage and under the column Other, if applicable.
  10. Division − This enables you to select viewing a certain Division only.
  11. PMI Profit Center − You may also select what to display at the profit center level .

Recommendations

When PMI alerts you that there is a deviation, this means that the deviation is real unless you initiate prompt actions. The scenario can be changed by amending your Live forecast. The focus should be on “what needs to be done” rather than on “if we will make it by the end of the month or not”. It is suggested to use this report in departmental meetings and post it in the back office for frequent reference.

Troubleshooting tips

This section provides additional troubleshooting advice for readers experiencing specific issues. While it’s packed with useful insights, you may skip it if you’re not facing any related problems.

Why does the Room nights total in the Cockpit differ from the rooms Live forecast?

Common Cause:
In most cases, the discrepancy is due to how the Cost Driver (Room Nights) is configured in the Cockpit.

  • The Cockpit might be using Room Nights from the previous day as a cost driver.
  • The Rooms Live Forecast typically shows Room Nights for the same day.

This mismatch leads to differing totals, even if the forecast source and timing are aligned.

What to Do:

  • Open the Cost Driver settings in the Cockpit.
  • Check whether Room Nights are based on:
    • Previous day
    • Same day
    • Or another custom setting
  • Align this with what you see in the Rooms Live Forecast for a fair comparison.

If everything else matches (forecast type, manual edits, import timing), this is the key area to check

Understanding zero OTB in Flash report

In PMI, the Flash Report provides a daily overview of revenue figures, both actual and forecasted, across all departments. Users may encounter situations where the Flash Report displays zero On the Books (OTB) data for specific dates leading to concerns about data accuracy.

Clarifying OTB in Flash Reports
It’s important to note that the Flash Report does not directly display OTB figures. Instead, it presents actual revenue data up to the current date and relies on the Live Forecast for future dates. The Live Forecast incorporates OTB data, which represents revenue from existing bookings or sales for upcoming dates. Therefore, if revenue actuals are zero for specific dates, the OTB for those dates will also be zero, reflecting no current bookings or sales recorded.

Providing context for better insights

Issue: Users ask broad questions like “Where is my data?” or “What do these figures tell you about my productivity?”without providing sufficient context or visual input.

If you're unsure why specific data or insights aren't displaying as expected, ensure your query includes enough context. You can also use the Query Library, which offers premade queries tailored to common needs—screenshots are automatically added when required for these queries. 

For custom queries, consider taking a screenshot of the relevant data or view by clicking the camera icon. Providing clear context or visuals helps the AI analyze your data more effectively and deliver accurate responses.

How to change covers on historical dates

If you need to update covers on a past date, use the Flash Report instead of Live Forecast. Follow these steps:

  1. Navigate to the Flash Report.
  2. Select the historical date you wish to edit.
  3. Click on the Edit tool (Pen icon).
  4. Manually adjust the covers as needed.
  5. Save your changes.

Note:

  • Live Forecast is designed for adjusting future covers.
  • Flash Reports handle updates for historical data, such as revenue and actual figures.

Changing revenue for today & tomorrow in PMI

Key Points to Remember:

  • Budget & Forecast Module changes totals on a monthly basis only.
  • Flash Report allows you to edit historical values.
  • Live Forecast allows you to edit future values (including today and tomorrow) by switching to “manual.”

Steps to edit revenue for historical dates (Past)

  1. Open the Flash Report.
  2. Expand or select the past date you want to edit; click the plus icon.
  3. Click the pencil icon (if available) to override the revenue value.

Steps to edit revenue for future dates (Today & Tomorrow)

  1. Go to the Live Forecast.
  2. Expand or select the specific date (e.g., today, tomorrow).
  3. Switch the date to “manual” if required.
  4. Enter the new revenue value in the editable field.

Can I view or customize graphs in the Benchmarking module?

The Benchmarking module in PMI does not support graphs at all — neither in the desktop version nor in the app. It is a table-only feature designed for data comparison, not visual display.

Common Confusion: Flash Report vs. Benchmarking

  • Flash Report (in the PMI app) does include graphs such as lines and bars, and offers visual comparisons.
  • Benchmarking, by contrast, focuses on numeric comparisons across properties or regions, displayed in table format only.
