A closure review checks that room availability, revenue expectations and staffing reflect the dates and activities that will actually take place. A property closure is different from locking a reporting period against edits.

Establish the operating plan

Record the property or affected department, the closure start and end dates, reopening date and whether the closure is full or partial. Confirm how the boundary dates should be treated, including departures, arrivals and work before reopening.

Identify the rooms and services that remain available. A restaurant closure, a room-floor renovation and a full-property closure can affect different drivers and departments.

Is my closed period set up correctly?

Check the date-effective availability and the forecast configuration with an authorised administrator. Confirm whether the affected forecasts are automated, imported or maintained manually. Review the actual values shown for each affected date; a configured closure or a historical seasonal pattern is not, by itself, verification of every forecast.

PMI has closure handling in its seasonal and revenue-driver calculations. A recognised closed date can produce zero demand in that calculation. This does not establish that imported or manually maintained forecasts, available-room capacity and staffing have all been changed. The existing auto Live Forecast guidance explains that changing closure patterns can require manual review. Do not assume this year’s closure will be detected because the property closed last year.

If capacity changes, check both the number of rooms and the dates for which that capacity applies. Verify the reduced period and the return to normal capacity. Period locking controls editing; it does not establish that the hotel is unavailable for sale.

Check bookings, revenue and related drivers

Review OTB, forecast room nights, room revenue and any linked drivers for the closure dates. Investigate remaining bookings with the source-system owner. They may require operational action or data correction; do not hide them by changing the forecast alone.

For a partial closure, retained business may be valid. For a full closure, investigate any remaining forecast demand against the agreed operating plan. Other departments or accounting adjustments can still have activity, so determine what each remaining value represents before changing it.

Confirm how a manual adjustment interacts with the next automatic update or imported forecast. Check the saved result after the applicable update cycle, rather than assuming a one-time edit will remain effective.

Review staffing separately

No guest demand does not automatically mean no labour requirement. Maintenance, security, cleaning, training, administration and reopening preparation may still need hours.

Compare the relevant demand drivers, SMART or other staffing reference, scheduled productive hours and other hour categories. Review minimum/maximum settings and fixed duties where applicable. A forecast of zero room nights does not prove that every department’s hours should be zero.

Agree the required work and coverage with the responsible manager before changing the plan. Keep the schedule, the staffing reference and the property’s operational requirements distinct.

Verify closure and reopening dates

  • Check a normal operating day before the closure.
  • Check the first and last closure dates and at least one date within the period.
  • Check reopening and preparation dates, including the restored room availability and staffing requirements.
  • Confirm that authorised changes were saved and remain correct after the next relevant import or forecast update.

Record the expected value, observed value and reason for any remaining activity. If the result still differs from the operating plan, provide those dates and settings to the administrator or support team.

Ask PIA

“For these closure and reopening dates, review the supplied availability, forecast demand and staffing. Identify inconsistencies and explain which settings or source records still need checking.”

PIA can interpret the evidence supplied to it. It cannot confirm the full closure setup from a monthly forecast total or a property room count alone.
