What are user roles?

PMI user access is managed in the User administration module. Users in PMI are assigned one primary role, which defines their core permissions. Additional add-on roles can be granted to extend what they can do. Below are the most common roles explained in plain language.

Note: Department Managers have the same rights as Operational Managers, limited to their own department (including editing productivity targets and submitting department budgets/forecasts). They can’t access Rooms Live Forecast unless the Rooms forecast manager add-on is granted.

HQ Administrator

Scope: Chain-wide

Role Summary: Top-level role with full access and control over PMI settings and user management.

Can do

  • Access and manage all modules across all properties
  • Modify PMI configuration and settings
  • Manage all users and roles
  • Control planning and reporting tools
  • Approve and oversee flash reports

HQ Controller

Scope: Chain-wide

Role Summary: Has most of the same operational capabilities as property controllers, but for the entire chain.

Can do

  • View and edit flash report numbers across all properties
  • Access chain-level planning reports and settings
  • Control constants and forecasting

Administrator

Scope: Property or Group

Role Summary: Full control over one or more properties; can manage users and settings at the local level.

Can do

  • Manage property-specific users and roles
  • Adjust planning, forecasting, and reporting tools
  • Act as the local controller

Controller

Scope: Property or Group

Role Summary: Advanced operational access, including planning and reporting for assigned properties.

Can do

  • Use all planning and forecast tools
  • Edit constants, driver settings, and staff planning
  • Access some chain-level analytics
  • Map TKS and account data

Operational Manager

Scope: Property or Group (can only be assigned on property level)

Role Summary: Handles daily operational planning and forecasting, but with limited administrative rights.

Can do

  • Submit and adjust forecasts and budgets
  • Access and manage all cockpits
  • Set min/max hours and driver seasonality
  • Adjust productivity targets

Cannot

  • Access the Staff module (unless Salary Editor role is added)
  • Manage users or system settings

Division/Department Manager

Scope: Department-level only

Role Summary: Similar to an Operational Manager but limited to one department.

Can do

  • Edit and submit forecasts/budgets for their department
  • Adjust productivity targets within their division

Cannot

  • Access data or modules outside their department (e.g., Rooms Live Forecast for other departments)

View PMI

Scope: Property or Group

Role Summary: Read-only, view access for R&P and Planning; cannot see Staff in Planning.

  • View Planning and R&P modules
  • Check forecasts, targets, and reports

  • Edit anything
  • Access staff planning or sensitive modules
